1. Financial Management
- Oversee financial operations for cooperative partners related to WFP-supported programs, including budgeting, forecasting, monitoring, and reporting.
- Ensure timely and accurate processing of financial transactions in compliance with WFP financial policies and donor requirements.
- Prepare monthly, quarterly, and annual financial statements and reports according to WFP and donor reporting standards.
- Review project expenditures to ensure adherence to the budget and address any variances in coordination with program managers.
- Support audit preparations and respond to audit inquiries by providing required financial documentation.
2. Budgeting and Financial Planning
- Participate in budget preparation and analysis for WFP-related projects to ensure resources are effectively allocated.
- Regularly review budgets to align with operational priorities and identify potential areas for cost savings.
- Monitor funding allocations and collaborate with WFP and internal teams to maximize available resources.
3. Administrative Support
- Manage administrative tasks for WFP-supported projects, including procurement, office management, asset management, and logistics, ensuring compliance with WFP policies.
- Oversee office facilities, coordinate maintenance, and ensure adherence to health and safety standards.
- Supervise support staff within the administrative and finance unit to ensure efficient daily operations.
- Organize and maintain documentation and records of all administrative activities.
4. Compliance and Risk Management
- Ensure compliance with WFP internal controls and financial policies to mitigate financial and operational risks in WFP-supported projects.
- Conduct periodic reviews to ensure adherence to WFP guidelines and standards, addressing any identified gaps.
- Maintain compliance with donor agreements by aligning all financial transactions and reports with donor specifications.
5. Human Resources and Staff Support
- Provide administrative support for HR functions in WFP-supported projects, including payroll processing, timesheet tracking, and onboarding.
- Coordinate with HR to resolve administrative issues related to employee benefits, contracts, and records.
6. Stakeholder Engagement and Reporting
- Engage with internal and external stakeholders, including program staff, donors, and suppliers, to ensure effective communication within WFP-supported projects.
- Prepare reports and updates for stakeholders, highlighting financial and administrative performance and addressing key issues as necessary.
Qualifications and Experience:
Education: Bachelor’s degree in Finance, Business Administration, Accounting, or a related field. A Master’s degree and/or professional certifications (such as CPA, ACCA) are advantageous.
Experience: A minimum of 3-5 years of experience in finance and administration, preferably with international organizations or NGOs. Familiarity with WFP or UN systems is a plus.
Skills and Competencies:
- Strong analytical skills, with expertise in financial analysis and reporting.
- Excellent organizational abilities, with a capacity to manage multiple tasks efficiently.
- Effective interpersonal and communication skills.
- Experience with ERP systems, particularly SAP or similar financial software.
Language: Proficiency in English; knowledge of an additional UN language (such as French or Spanish) is beneficial.
